Life Design Kabaya is a vendor–employer invoice management system designed to digitize and streamline the invoice creation, review, and approval workflow. The primary goal of the project was to eliminate manual invoice handling by allowing vendors to generate invoices digitally, employers to review and approve them efficiently, and administrators to manage materials, users and reports from a centralized system. The platform supports role-based access for Admins, Vendors, and Employees, ensuring a structured and transparent invoice lifecycle from creation to completion.
Before the implementation of Life Design Kabaya, the invoice processing workflow was entirely manual, fragmented, and highly inefficient. Vendors prepared invoices using offline methods, while employees were responsible for manually verifying calculations, cross-checking material pricing, and managing approvals through scattered communication channels such as emails and chats. Since invoice data, material pricing, and related discussions were distributed across multiple platforms, maintaining consistency and tracking information became difficult. The process was also highly prone to human error, as manual calculations involving pricing, taxes, and totals frequently resulted in mistakes that caused rework and delays. Communication between vendors and employees lacked a centralized system, leading to miscommunication and poor traceability of discussions and clarifications. In addition, there was no real-time visibility into invoice status, making it challenging to monitor progress and causing uncertainty in the approval cycle. Every stage of the workflow, from invoice creation to final approval, required significant manual intervention, which slowed down operations and reduced overall efficiency. Managing and maintaining accurate material and pricing data from multiple sources further added to the operational complexity, making the entire process difficult to streamline and control.
Life Design Kabaya addressed these challenges by introducing a fully automated invoice workflow. Vendors can create invoices by selecting materials from admin-uploaded CSV data, with prices auto-populated and totals calculated dynamically. Employees can review, approve, or revert invoices with comments and cross-communicate with other employees with the platform for further confirmation, enabling clear communication. Admins gain complete control over users, materials, analytics, and data exports.
The implementation of Life Design Kabaya significantly improved the overall invoice management process by automating key workflows and reducing invoice processing time. Real-time computation of prices, quantities, taxes, and totals minimized calculation errors and improved accuracy across transactions. Transparency within the system was enhanced through invoice status tracking and centralized comment threads, allowing users to monitor progress and maintain clear communication. The introduction of role-based actions and a structured approval flow increased accountability and ensured that responsibilities were clearly defined at each stage of the process. Dashboard analytics enabled data-driven decision-making by providing valuable insights into invoice trends and operational performance. In addition, reporting became more efficient with the availability of CSV and PDF export features, while real-time notifications improved collaboration and ensured timely updates between vendors and employees.
