The Mitsumorisho Sakusei Automation Bot was developed to automate the estimation creation process for builders. The goal was to reduce repetitive manual work, improve estimation accuracy, and speed up quotation preparation across NSK’s Osaka and Yokohama offices. The project involved building an end-to-end automation workflow for generating builder-specific estimates in Excel and PDF formats. The system reads order details from input Excel files, identifies builder-specific pricing and calculation rules, retrieves project information from the order management portal, downloads design files from SharePoint, and extracts floor-wise area details using OCR technology. The generated estimates are automatically uploaded back to SharePoint within the correct project folders, ensuring a structured and traceable estimation workflow.
Creating estimates manually was a repetitive and time-consuming process. Each order required staff to check builder-specific pricing rules, customer conditions, additional items, non-chargeable items, drawing-based calculation rules, and floor-wise area details before preparing the estimate. With nearly 5,500 orders delivered every month across factories, the team had to generate at least the same number of estimates for customers. Manual preparation took around 10 minutes per order, creating a heavy workload and increasing the risk of calculation mistakes, missed builder-specific conditions, and delays in sending estimates.
An automation bot was developed to manage the complete Mitsumorisho creation workflow. The system reads order inputs, searches the master Excel database for builder-specific rules, logs into the order management portal to collect project data, and downloads the required design files from SharePoint using API integration. Using OCR, the bot reads actual floor-wise areas from the design files and applies required area reductions where products are not used or where customers have requested exclusions. It then prepares a builder-specific Excel estimate by applying the correct layout, pricing logic, additional item rules, and calculation conditions. The final estimate is generated in both Excel and PDF formats and automatically uploaded to SharePoint under the correct order folder. The input sheet also gives users flexible options such as auto-upload, OCR-based area reduction, and additional item consideration for each individual order.
The automation reduced estimate generation and upload time from 10 minutes per order to around 40 seconds, saving more than 9 minutes per order. For approximately 5,500 estimates per month, this saves around 855 hours every month. This is equivalent to nearly 5 full-time employees’ monthly workload, resulting in an estimated labor cost optimization of around ¥1,000,000 per month, based on ¥200,000 monthly salary per person. Beyond cost savings, the solution streamlined estimation work, improved processing speed, reduced manual calculation errors, minimized missed builder-specific conditions, and enabled faster customer-ready estimate delivery across both Osaka and Yokohama operations
