Zenbubot is a custom workflow automation platform developed for NSK to streamline the floor-wise Bill of Materials (BOM) preparation process before manufacturing. Built around NSK’s internal Excel Check workflow, the solution automates repetitive file preparation tasks, applies builder-specific templates and business rules, and generates production-ready outputs with speed and consistency. Designed for high-volume factory operations, Zenbubot helps teams process hundreds of daily projects with greater accuracy and operational control.
Before Zenbubot, BOM preparation was a manual and time-sensitive process requiring staff to compare design PDFs, populate floor-wise Excel files, apply builder-specific rules, and prepare outputs for manufacturing. With 220 to 250 projects handled daily across six factories, teams managed nearly 500 floor checks every day. Differences in builder formats, material rules, and ancillary requirements increased complexity, while manual handling created risk of errors, delays, and costly manufacturing re-work.
We built Zenbubot as a scalable automation system that digitized the complete Excel Check workflow from input to final output. Users provide builder codes and project numbers, after which the bot securely retrieves project files and templates from Microsoft SharePoint using API integration. It intelligently applies builder-specific layouts, floor-wise data structures, predefined material logic, and ancillary item rules, then executes existing Excel macros to generate machine-ready BOM files in the required production format. The platform also standardizes file management by automatically organizing completed outputs into structured folders by builder and project number. By combining automation, system integration, and rules-based processing, Zenbubot transformed a manual bottleneck into a fast, reliable, and repeatable manufacturing support workflow.
Zenbubot significantly improved speed, accuracy, and operational efficiency across daily manufacturing preparation workflows. Excel Check processing time was reduced from 15 minutes to 5 minutes per project, at 250 projects per day, this results in over 41 hours saved daily. The solution delivers productivity equivalent to 5+ full-time employees, with estimated labor cost savings exceeding ¥1,000,000 per month. In addition to measurable cost and time savings, Zenbubot streamlined operations, reduced manual mistakes, minimized BOM-related manufacturing re-work, and created a scalable workflow capable of supporting high-volume factory environments with consistency and precision.
